Terms of Service

1. Who can use DocuTrackr
DocuTrackr is offered to adults (16+) using it for personal or family document management. By creating an account, you confirm you meet that age, that the email you sign up with is yours, and that any documents you upload belong to you or to people in your family who have given you permission to manage their records.
DocuTrackr is currently offered to users with Gmail or Outlook email addresses. We expect to expand this; in the meantime, attempts to sign up with other email domains will be rejected.
2. What you can do
- Add, edit, and remove your own documents and family records.
- Invite family members to view their own scoped documents.
- Create time-limited share links to send specific documents to specific people.
- Mark documents as critical for emergency quick-access.
- Use renewal playbooks for guidance — these are best-effort references, not legal or professional advice.
3. What you must not do
- Upload documents that aren't yours and weren't entrusted to you.
- Use DocuTrackr to harm, harass, or impersonate anyone.
- Attempt to bypass security controls — encryption, audit logging, access caps. We will detect this.
- Reverse-engineer the service in a way that violates applicable law.
- Use the service for illegal purposes under the law of your country of residence.
We reserve the right to suspend or terminate accounts that violate these rules. Where reasonable we'll give notice first; for safety-critical violations we may act immediately and notify you afterward.
4. Subscriptions and payment
Free tier covers up to 5 documents and 3 important dates. Paid tiers (Family monthly, Family annual, Lifetime) unlock unlimited documents, additional family members, and WhatsApp reminders. Current pricing is shown on the pricing section.
Billing runs through Stripe. By upgrading, you authorize recurring charges (for monthly/annual plans) on the card you provide. You can cancel any time from your billing settings; access continues through the end of the paid period.
If a payment fails, we'll mark the subscription past-due, email you, and give you a 14-day grace period to update your card before downgrading you to free.
5. Refunds
Annual and Lifetime plans: prorated refund within 14 days of purchase if you haven't actively used the service. Monthly plans: not refunded — cancel before the next charge.
Statutory consumer rights (e.g. the EU 14-day cooling-off period) apply where relevant and override these terms.
5a. What "Lifetime" means
A Lifetime plan grants access for the operational lifetime of the DocuTrackr application — not the lifetime of the user. If the DocuTrackr service is permanently discontinued, sold, or shut down, the Lifetime plan ends at that point and no further access is provided.
The Lifetime price is a one-time purchase. It is not refundable beyond the 14-day window described in section 5 above. "Future features" means features that exist in DocuTrackr while DocuTrackr is operating — it does not obligate us to keep the service running forever.
6. Account termination
You can delete your account at any time from settings. We soft-delete immediately and permanently destroy data after 30 days. You can cancel the deletion within that window.
We may close accounts that violate these terms or that have been inactive for 24 consecutive months, with at least 30 days email notice before any data is removed.
7. Disclaimers
DocuTrackr is a tool, not advice. Renewal playbooks reflect our best understanding of public processes at the time of publication; rules change, and your specific situation may differ. We recommend confirming directly with the issuing authority for high-stakes renewals.
The service is provided "as is". We aim for high uptime and integrity but don't guarantee zero downtime or zero errors. We do everything we can to keep your data safe; you should also keep your own copies of irreplaceable documents.
8. Liability
To the extent permitted by law, our liability for any single incident is capped at the greater of (a) the amount you've paid us in the 12 months preceding the incident, or (b) USD 100. We are not liable for indirect, incidental, or consequential damages — lost income, missed renewal deadlines, travel disruption, etc.
Nothing in these terms limits liability where the law forbids us to limit it (gross negligence, willful misconduct, statutory consumer protections that override contract terms).
8a. Limitation of liability — data security
DocuTrackr uses industry-standard encryption and access controls: AES-256 at rest, TLS 1.3 in transit, and a zero-knowledge architecture so that even our own team cannot read your document content. We log every access for you to review.
However, no online service is immune to compromise. By using DocuTrackr you acknowledge and agree that any data breach, hacking incident, credential theft, account takeover, ransomware event, or unauthorized third-party access — whether targeting DocuTrackr, its infrastructure providers, your email provider, your device, or you personally — is not the legal responsibility of DocuTrackr, its operators, its owners, its employees, or its affiliates. We will not be liable for any direct, indirect, consequential, or punitive damages arising from such an event.
You remain responsible for the security of your own device, your password, your PIN, and the email account you use to sign in. We strongly recommend keeping your device OS up-to-date, using a strong unique password, and enabling Face ID / Touch ID where available.
We will notify affected users within 72 hours of any confirmed breach we become aware of, including the scope and what actions to take.
9. Changes
We can update these terms when we add features or to comply with law. For material changes, we'll email you at least 14 days before they take effect. Continued use after the effective date is acceptance.
10. Governing law
These terms are governed by the laws of [JURISDICTION TO BE SET BY COUNSEL]. Disputes will first be discussed in good faith via email; unresolved matters will be handled in the courts of that jurisdiction unless required otherwise by your local consumer-protection law.
